This policy is intended to provide a more complete overview of how a business-focused email service handles account data, operational metadata, message-related information, website activity, and customer requests.

1. Scope of This Policy

This Privacy Policy explains how Linea collects, uses, discloses, and safeguards personal information when you visit our website, request a demo, create an account, or use our email hosting, routing, automation, analytics, compliance, and security services.

Because Linea is designed for business email workflows, we may process account, administrator, billing, support, and message-related data on behalf of customers. When we process email content or metadata under a customer agreement, we do so as a service provider or processor acting on the customer’s instructions.

2. Information We Collect

The categories of information we collect depend on how you interact with Linea, the features your organization enables, and the integrations connected to your workspace.

  • Identity and account information, such as name, company, business email address, phone number, job title, username, and authentication credentials.
  • Organization and billing information, such as company name, domain details, subscription plan, invoice contacts, and payment-related records supplied by you or a payment provider.
  • Email service data, such as mailbox configuration, routing rules, suppression lists, bounce and delivery events, spam and abuse reports, message headers, logs, and other operational metadata needed to deliver the service.
  • Customer content that you or your end users choose to send, receive, upload, store, archive, analyze, or process through the platform, including message bodies, attachments, templates, contacts, and automation instructions.
  • Security and device information, such as IP address, browser type, operating system, session events, audit trails, API usage, and administrative actions performed in the account.
  • Sales, marketing, and support information, including communications with our team, demo requests, survey responses, and records of troubleshooting interactions.

We use personal information and service data to operate, secure, maintain, and improve Linea, and to meet contractual, legal, and legitimate business obligations.

  • Provisioning accounts, authenticating users, routing email, enforcing mailbox and tenant policies, and delivering purchased services.
  • Detecting delivery issues, malware, phishing, spam, fraud, account misuse, or policy violations, and maintaining the integrity of our systems.
  • Supporting automation, reporting, analytics, message classification, and product features requested by customers, including AI-assisted workflows where enabled.
  • Responding to customer service inquiries, providing technical support, and notifying users about service, billing, or security matters.
  • Complying with applicable laws, lawful requests, tax requirements, accounting obligations, and industry security expectations.
  • Developing and improving our products, documentation, onboarding, and website experience using aggregated, de-identified, or otherwise limited datasets where appropriate.

Where required by applicable law, we rely on one or more legal bases to process personal information: performance of a contract, compliance with legal obligations, legitimate interests such as fraud prevention and service reliability, and consent where consent is specifically requested.

No security measure is perfect, and we cannot guarantee absolute security. Customers are responsible for maintaining strong credentials, configuring account permissions appropriately, and promptly notifying us of suspected unauthorized activity.

When we transfer personal information across borders, we use appropriate safeguards required by applicable law, which may include contractual commitments, vendor due diligence, and additional technical or organizational measures.
